Automation Readiness Checklist
Find which processes to automate first: list your repetitive work, score it on frequency, time and error cost, then check data, systems, people and risk.
Use this checklist to find the processes worth automating first and to check that each one is ready. Set aside about an hour, and fill it in with the people who do the work, not only the people who manage it. Work through the steps in order: list, score, check readiness, check risk, then choose your top three.
Step 1: List your repetitive processes
Write down every task your team repeats by hand. Name each one by what starts it and what it produces, such as "new web inquiry → reply and CRM record" or "supplier invoice arrives → entry in the accounting software".
If you get stuck, walk through each department:
- Sales: replying to new inquiries, chasing open quotes, booking appointments, sending contracts for signature.
- Support: answering "where is my order?", the same 10 questions by email or chat, sorting the shared inbox.
- Operations: re-typing bookings into job sheets, copying orders between systems, collecting documents from clients.
- Finance: posting bookkeeping entries, raising invoices, sending payment reminders, matching receipts to card transactions.
- Marketing and HR: asking for reviews, scheduling interviews, onboarding paperwork, shift reminders.
Time a sample of real runs with a stopwatch, including the time spent switching between tools. Don't estimate from memory. For "error cost", write what a mistake leads to: an hour of rework, a refund, a lost sale, a late filing.
