Follow-up sequence

A follow-up sequence is a planned series of messages and calls to a lead or customer at set intervals, stopping when they reply, book, buy or opt out.

A follow-up sequence, sometimes called a cadence, makes sure no lead is dropped after the first contact. Instead of relying on someone to remember, each step is scheduled in advance and runs automatically.

How it works

A sequence has four parts:

  • Trigger: what starts it, such as a new inquiry, a quote sent or a missed appointment.
  • Steps: each message or call, with its channel, timing and content.
  • Exit rules: what stops it. A reply, a booking, a purchase or an opt-out should end the sequence at once.
  • Handoff: what happens when someone replies, usually a person or an AI agent picking up the conversation.

Writing one that works

Good sequences sound like a person, not a campaign. Keep messages short, refer to what the customer asked about, and give one clear next step per message. Vary the channel, for example a text, then an email, then a call, and space the steps further apart as the sequence goes on.

In the US, calls and texts are subject to consent and opt-out rules under the TCPA and the FCC's regulations, and business texting from standard local numbers requires A2P 10DLC registration. Make opting out easy in every message, and stop the sequence as soon as someone asks.

How it relates to Worcia

Follow-up sequences are central to Cadenza, Worcia's lead follow-up and pipeline automation. Templates you can adapt are in the Toolkit. Read How to automate lead follow-up without sounding like a robot.
