Show rate
Show rate is the percentage of booked appointments that customers actually attend, calculated as appointments attended divided by appointments scheduled for the same period.
Show rate tells you how many of the appointments you book turn into actual visits, calls or jobs. Its opposite is the no-show rate. For a business that runs on appointments, each no-show is an empty slot that usually cannot be filled at short notice.
How to calculate it
Show rate = appointments attended ÷ appointments scheduled × 100
Decide how to treat cancellations before you start. A common approach counts only appointments still on the calendar when they were due, and tracks late cancellations separately. Whatever you choose, keep it consistent so the number is comparable month to month.
What affects it
- Lead time. Appointments booked far in advance are easier to forget.
- Reminders. Confirmations and reminders by text, email or call before the appointment.
- Two-way confirmation. Asking customers to reply to confirm, so you learn early who will not come.
- Easy rescheduling. A simple way to move an appointment turns a no-show into a reschedule.
- Commitment. Deposits or card holds, where they suit the business.
How it works in a business
Automation handles the routine: a confirmation at booking, reminders before the visit, a reschedule link, and a follow-up to anyone who misses. When someone cancels, a waitlist can offer the slot to another customer.
How it relates to Worcia
Reminders and rebooking run in Cadenza, Worcia's lead follow-up system, and waitlists and scheduling in Maestro, its workflow automation. Estimate what missed appointments cost you with the calculators in the Lab, and read How to reduce appointment no-shows.
