Answer every after-hours call

An AI voice agent that answers your line after hours in your business's name, finds out what the caller needs and books them or escalates urgent cases. Every call lands in your CRM as a lead with a summary and a next step.

The problem

Calls that arrive after your team goes home reach voicemail, and a voicemail is not an answer. The person calling has a need right now: a leaking pipe, a toothache, a house they want to see this weekend, a legal question that is keeping them up. If nobody picks up, they call the next business on the list.

The cost is hard to see because it leaves no trace. A caller who hangs up without a message never appears in your CRM. Nobody counts them, so nobody misses them. The callers who do leave a message wait until morning, when someone works through the voicemail between other tasks. By then, some of them have booked elsewhere.

The usual fixes each have a catch. An answering service takes a message but rarely books, and the message still needs a callback. Staffing the phones late is expensive and hard to cover every night. Forwarding calls to the owner's mobile works until the owner needs to sleep. For a fuller comparison, read AI receptionist vs answering service vs hiring.

What we build

We build an after-hours line on Concierge, our AI sales and service agents, connected to your calendar and to Cadenza, our lead follow-up system. Here is how a call moves through it.

  1. Your number stays the same. Calls forward to the agent at the times you choose: after closing, on weekends, on public holidays, or whenever every line is busy. During staffed hours, your phones ring as they do today.
  2. The agent answers in seconds, by name. It greets callers in your business's name and offers to help or to arrange a callback from a person. Where calls are recorded, it gives the recording notice.
  3. It finds out what the caller needs. It asks the questions your team would ask: what the problem is, where they are, how urgent it is, whether they are an existing customer. It answers from your real services, hours, service areas and policies, and says so when it doesn't know.
  4. It books, escalates or schedules a callback. Routine requests are booked straight into an open slot of the right type in your calendar. Calls that match your urgent rules go to the on-call person by live transfer or text, with the details attached. Anything else becomes a callback task for the morning.
  5. The caller gets a confirmation. A text confirms the booking or the callback time, so nobody wonders whether the call went through.
  6. The call becomes a lead record. Cadenza logs the caller, a short summary, the transcript and the outcome in your CRM. Then it starts the right follow-up: a reminder before the appointment, or a sequence if they weren't ready to book.
  7. Your team starts the day with a list, not a voicemail queue. A morning summary shows who called, what was booked, what was escalated and which callbacks are due.

We write the script and the rules with you, and test them against the real questions your team hears before the agent takes a live call.

How it connects

An after-hours call is the start of work for our other two automation services, not the end of it.

  • Cadenza. Every after-hours caller becomes a lead with a source, a stage and a next step. If they booked, reminders reduce the chance they forget. If they didn't, a follow-up sequence keeps the conversation going until they book or say no. Instant lead response applies the same logic to web forms and portal leads.
  • Maestro (workflow automation). A booking made at 10 PM can create the job sheet, the intake form or the quote draft before anyone opens a laptop. Booking to job sheet shows that flow step by step.

The same agent can take overflow during the day, so a busy afternoon doesn't send callers to voicemail either. For more on the wider problem, read how to stop missing business calls after hours.

What we measure

Targets are agreed in the Growth Blueprint and reported after launch. Before launch, we take a baseline from your phone system's call logs, so the comparison is like for like. If you close at 5 PM or 8 PM rather than 6 PM, we use your real hours.

  • Answer rate after 6 PM. The share of calls received outside staffed hours that reach a live conversation with a person or the agent. Measured from your phone system's call logs and the agent's call records, by hour of day.
  • Appointments booked outside staffed hours. Bookings the agent creates between closing and opening time. Measured from calendar entries tagged with the agent as their source.
  • After-hours callers with a next step in the CRM. The share of after-hours callers whose record shows a booking, a callback task or an active follow-up sequence. Measured from CRM records created from after-hours calls.
  • Urgent calls escalated to the on-call person. The number of calls that matched your urgent rules, and the time from each call to the on-call person's acknowledgment. Measured from the escalation log, and reviewed with you to check the rules catch the right calls.
