Qualify every lead before it reaches your team

AI voice and chat agents that ask your qualifying questions at first contact or on a consented callback, apply the rules you set and route qualified leads to the right person with a summary attached.

The problem

Your best people spend too much time finding out whether a lead is worth their time. Each inquiry needs the same handful of questions before anyone can help: where the person is, what they need, when they need it, what budget they have. For a law firm, it's the type of matter and the other parties' names for a conflict check. For an agency, it's scope, timeline and budget. For a home services company, it's the ZIP code and the job type.

Those questions are easy. They're also repetitive, and they take a skilled person away from work only they can do. When the team is busy, qualification slips. Leads wait days for a first call, and the call goes to whoever is free rather than whoever fits. Good leads cool off in a queue behind people who were never going to buy.

The rules drift, too. One person asks about budget; another doesn't. Notes live in someone's notebook. Two months later, nobody can say which sources send qualified leads and which send noise. Lead qualification only works when it is consistent.

What we build

We build qualification on Concierge, our AI sales and service agents, and route the results through Cadenza, our lead follow-up system.

  1. We turn your criteria into questions and rules. Before the build, we write down what makes a lead a fit for each service: area, timing, budget range, case type, who makes the decision. You approve the questions and the rules.
  2. The agent asks them at first contact. On an inbound call or chat, the agent asks your questions in a natural order and skips any the lead already answered in their form.
  3. Or on a consented callback. When a lead fills out a form and asks to be contacted, the agent can call back within minutes to qualify them by voice. Callbacks go only to people who asked for one or agreed to be contacted.
  4. Answers are checked against your rules. Each lead is marked qualified, not a fit, or needs review. Edge cases go to a person rather than being decided by the agent.
  5. Qualified leads are routed and booked. The lead is assigned to the right person by service, location or value, and booked into their calendar where you want that. The person receives a summary: who, what, when, budget, and anything unusual.
  6. Leads who aren't a fit get a useful answer. The agent thanks them, explains what you don't cover and, where you have one, offers a referral or a resource. The CRM records the reason.
  7. Sensitive intake stays inside your rules. The agent collects only the information you approve and never gives advice. Legal, medical and financial questions go to a qualified person.

How it connects

  • Cadenza. Qualification answers land on the lead record, so follow-up is tailored by fit and stage, and dashboards show conversion by source. Instant lead response makes sure the qualification conversation starts within a minute of the inquiry.
  • Maestro (workflow automation). A qualified lead can trigger the next piece of work: a conflict-check request, a site-visit job, an engagement letter draft or a proposal pre-filled with what the lead said.
  • Qualified leads who book are confirmed and reminded through no-show recovery, so the time your team saves isn't lost to an empty slot.

What we measure

We agree the targets in the Growth Blueprint and take a baseline from your CRM before launch.

  • Time from inquiry to qualification. Minutes from a new inquiry to a qualified, not-a-fit or needs-review decision. Measured from CRM timestamps, median and 90th percentile.
  • Qualified leads per 100 inquiries, by source. Shows which channels send leads worth talking to. Measured from the qualification field on CRM records, grouped by source.
  • Team calls held with qualified leads. The share of your team's sales or consultation calls that are with leads who passed qualification. Measured from calendar entries linked to CRM records.
  • Handoffs where the team didn't re-ask qualifying questions. Measured from a short tag your team adds after each first call, and by reviewing a sample of call notes with you each month.
