Cut no-shows and refill the empty slots
Confirmations and reminders on each customer's preferred channel, one-tap rescheduling from the reminder, a rebook offer when someone misses, and a waitlist that fills canceled slots.
The problem
A no-show costs more than the empty slot. The time is gone, and unless someone follows up, the customer may be gone too. People miss appointments for ordinary reasons: they forget, their day changes, or rescheduling looks like more effort than not turning up.
The fix for each is simple in principle: a reminder at the right time, and a reschedule that takes seconds. In practice, it depends on someone at the front desk sending reminders by hand and calling the people who missed. When the desk is busy, that is the first job to slip.
Cancellations have the opposite problem. Someone cancels the day before, and the slot could go to a person on your waitlist, if anyone had time to call through it. For a clinic, that's an idle treatment room. For a restaurant, an empty table on a Friday night. For a consultant, an unbilled hour. For a tutoring center, a student falling behind.
What we build
We build no-show recovery on Cadenza, our lead follow-up system, with Concierge, our AI sales and service agents, handling replies and rebookings and Maestro, our workflow automation, keeping the calendar in step.
- Every booking gets a confirmation. It goes out straight away on the channel the customer prefers, with the time, the place, what to bring and a reschedule link.
- Reminders run on your schedule. For example, two days before and on the morning of the appointment. Each one asks the customer to confirm and makes rescheduling a single reply or tap.
- Unconfirmed bookings are flagged. If a customer doesn't confirm, your team sees it in advance, and the agent can follow up by text or with a consented call.
- Reschedules and cancellations free the slot at once. The slot returns to your calendar the moment it's released, not when someone gets around to updating it.
- The waitlist fills it. Maestro offers the freed slot to waitlisted customers it suits, in the order you choose. The first to confirm gets it, and the others are told it's gone.
- A missed appointment triggers a rebook offer. Shortly after a no-show, the customer gets a friendly message offering new times. No blame, just an easy way back. Concierge handles the replies and books the new slot.
- Deposits where you want them. For appointment types where a no-show is costly, Maestro can request a deposit at booking, under your cancellation policy.
We write every message with you, in your voice, and set the timing by appointment type: a booking made six weeks ahead needs a different rhythm from one made this morning. Reminders say who they're from. When a customer replies, the agent says it is an AI, and anyone who asks for a person gets one. Customers who opt out of reminders stop receiving them, and your team sees that on the booking.

How it connects
No-show recovery is where all three of our automation services meet: the reminder comes from Cadenza, the conversation from Concierge and the calendar work from Maestro.
- Concierge handles the conversations around each reminder: questions, reschedules, cancellations and rebookings, on whatever channel the customer replies.
- Maestro runs the waitlist, the deposits and the calendar updates, and keeps your booking system and CRM in step.
- No-show recovery protects the bookings created by appointment booking, instant lead response and after-hours answering.

What we measure
We take a baseline show rate from your calendar history before launch, by appointment type, so the comparison after launch is fair.
- Show rate. The share of booked appointments that take place. Measured from your calendar and your attendance or check-in records, by appointment type, weekday and channel. See the glossary entry on show rate.
- Missed appointments rebooked. The share of no-shows who book a new appointment after the rebook offer. Measured from calendar records linked in the CRM.
- Canceled slots refilled from the waitlist. Released slots filled by a waitlisted customer before the appointment time. Measured from calendar changes and the waitlist log.
- Revenue recovered from rescued no-shows. Revenue from rebooked no-shows and refilled slots, attributed in the CRM using the actual or standard fee for each appointment type. We agree the attribution rules with you before launch.
