Build a lead management system that fits how you sell
A lead management system built around your sales process: every lead from every source captured into one record, routed to the right person, tracked through each stage and followed up automatically until it's won, lost or parked.
The problem
Leads leak when they live in too many places. A form fill lands in an inbox. A listing-site inquiry arrives in that site's own app. A phone call becomes a note on someone's desk. A referral is a text on the owner's phone. Each one is real interest from a real person, and none of them is on a shared list.
So nobody can answer the simple questions. Has this person been contacted? Who owns them? What did we promise? When is the next step? Leads go cold not because anyone decided to ignore them, but because nobody knew they were theirs.
The same gap hides where your customers come from. You spend on ads, listings and events, but without one record per lead, from first contact to sale, you can't see which source produces customers and which produces only inquiries.
Off-the-shelf CRMs handle this well for many businesses, and when one fits, we'll tell you. When one doesn't, the signs are familiar: a sales process bent to fit the tool, fields nobody fills in and a spreadsheet kept alongside it because the CRM can't hold what the team needs.
What we build
We build lead management systems with Custom software, Worcia's software development for CRMs, lead management and internal tools, and follow up every lead with Cadenza, Worcia's sales follow-up automation. At Worcia, LMS means lead management system.
- We map how you sell. Sources, stages, who handles what, what "qualified" means for you and what happens at each step. The system is built around that map, not the other way around.
- Every source feeds one record. Website forms, ad lead forms, listing sites, phone calls, chats and referrals arrive in one place, through an API, a webhook or email parsing. Duplicates are merged, so one person is one record.
- Each lead is routed to an owner. Rules you set decide who gets which lead: by area, service, language, workload or rotation. The owner is notified at once.
- Follow-up starts straight away. Cadenza contacts each new lead by text, email or call in the first minutes after it arrives, then keeps following up on a schedule until the lead replies, books or opts out.
- Stages and next steps are always visible. Each lead has a stage, an owner and a dated next step. Leads without a next step are flagged to their owner and their manager.
- Scoring points the team to the right leads. Simple lead scoring, based on your rules and each lead's activity, puts the most promising leads at the top of each person's list.
- Outcomes are recorded. Every lead ends as won, lost or parked, with a reason. Parked leads come back at the date you choose.
- You see the pipeline by source. Reports show leads, conversations, appointments and customers by source, campaign and owner.
The system can stand on its own, or act as the front end of a larger CRM that we build or connect to. Either way, your team works from one list, and every lead has a name next to it.
How it connects
A lead management system is the record the rest of the sales side writes to.
- First response. The first reply to every lead is the job of instant lead response. The system is where those leads live afterward.
- Calls. Concierge, Worcia's AI sales and service agents, answers inbound calls as Viola, your concierge, and logs each call to the right lead with a summary. See after-hours answering.
- Qualifying and booking. Lead qualification calls and appointment booking move leads through the stages.
- Quiet leads. Parked and lost leads come back through old lead reactivation when the timing is right.
- Marketing. Source data shows Digital marketing, Worcia's paid ads and campaign service, which campaigns produce customers rather than clicks. Read how to see which marketing actually brings customers.

What we measure
During the Growth Blueprint, we take a baseline from your current inboxes, spreadsheets and tools. After launch, we report against the agreed targets.
- Leads captured into one record, by source. The share of leads from each source that reach the system automatically. Measured by comparing records in the system with counts from each source, such as ad platforms, listing sites and call logs.
- Time from lead received to first contact. Minutes from a lead arriving to the first reply or call. Measured from system timestamps, median and 90th percentile.
- Open leads with an owner and a next step. The share of open leads that have both. Measured from the system each week.
- Lead-to-customer rate, by source. The share of leads from each source that become paying customers. Measured from recorded outcomes in the system.
